Recording and tracking equipment history

What to record about facility equipment and how to keep installation, service and repair history easy to follow.

Equipment records are a facility’s technical memory. When a fault occurs or the maintenance team changes, they save a great deal of time.

What to record

Equipment name and tag, location, nameplate data, installation and commissioning date, manufacturer documents, and a list of services and repairs including parts replaced.

One tag per item

Give each item a unique tag and use the same tag on the equipment itself, in the list and in reports.

One agreed place to keep it

Whether it is a paper log or a shared file, everyone should know where it is and who updates it.

Start at handover

The best moment to open an equipment file is at installation and commissioning, because the data and documents are at hand.
